North Simcoe Therapy Network (NSTN) is committed to protecting the privacy, confidentiality, and security of the personal information and personal health information entrusted to us.
NSTN follows applicable Ontario privacy legislation, including the Personal Health Information Protection Act, 2004 (PHIPA), and the professional standards and requirements of the College of Registered Psychotherapists of Ontario (CRPO).

Depending on your relationship with NSTN, we may collect:

● Information provided during intake and assessment;
● Personal health information necessary to provide psychotherapy services;
● Clinical and treatment records;
● Billing and payment information;
● Information provided through our website, contact forms, or online booking system; and
● General website information, such as browser, device, IP address, pages visited, and website interactions.
We collect only information that is reasonably necessary for the purposes identified below.
2. How We Use Your Information
NSTN may collect, use, and disclose personal information and personal health information as reasonably necessary to:
● Provide and coordinate psychotherapy and related services;
● Schedule and manage appointments;
● Maintain clinical and administrative records;
● Communicate with clients;
● Process payments and insurance or benefit-related matters;
● Coordinate care with other health-care providers where authorized or permitted;
● Obtain appropriate clinical consultation or supervision;
● Improve the quality and security of our services;
● Manage our website and administrative operations; and
● Meet legal, regulatory, and professional obligations.
3. Consent
NSTN generally obtains consent before collecting, using, or disclosing personal health information, except where collection, use, or disclosure is permitted or required by law.
You may withdraw consent at any time, subject to legal or professional requirements and any information that must be retained by law.
Where applicable, consent may be obtained from an authorized substitute decision-maker.
4. Confidentiality and Its Limits
Information shared during psychotherapy is treated as confidential. However, confidentiality has legal and professional limits.
Information may be disclosed without consent where required or permitted by law or professional obligations.
This may include circumstances involving:
● A serious risk of harm to the client or another person;
● Mandatory reporting requirements, including certain child protection concerns;
● A court order, warrant, subpoena, or other legal requirement;
● Regulatory or professional proceedings;
● Certain legal, health-care, or quality-assurance purposes permitted by law; or
● An emergency where disclosure is necessary and legally permitted.
Where appropriate and legally permitted, NSTN will limit disclosures to the information reasonably necessary for the purpose.
5. Clinical Records
NSTN maintains clinical records in accordance with applicable legislation, professional standards, and record-keeping requirements. Records are protected through administrative, physical, and technical safeguards and are retained for the period required by law and professional requirements.
6. Access and Correction
Clients generally have the right to request access to their personal health information held by NSTN and to request correction of information they believe is inaccurate or incomplete, subject to applicable legal limitations.

7. Electronic Communication and Virtual Care
NSTN may communicate with clients by email, telephone, text message, online booking systems, and other electronic methods. Electronic communication may carry privacy and security risks. Clients are encouraged not to send detailed or highly sensitive clinical information through ordinary email, text messages, social media, or general website forms.
NSTN may provide virtual psychotherapy using electronic platforms. Clients are encouraged to participate from a private location and take reasonable steps to protect their own privacy.
Sessions are not routinely recorded. Any recording will require appropriate express consent unless otherwise permitted or required by law.
8. Third-Party Services
NSTN uses third-party services to support the operation of our practice, including: Jane – used for online booking, appointment scheduling, intake, clinical records, billing, and practice
management. Mailchimp and Canva – used for newsletters, practice announcements, educational information, and other marketing communications where appropriate consent has been obtained. Google Analytics – used to understand general website traffic and improve our website. Google Ads Conversion Tracking – used to measure the effectiveness of our online advertising, such as whether a visitor completes a general website action after interacting with an advertisement. NSTN takes reasonable steps to ensure that third-party service providers have appropriate privacy and security safeguards. Some third-party providers may store or process information outside Ontario or Canada, where it may be subject to the laws of that jurisdiction.
9. Website Cookies and Tracking
Our website may use cookies, analytics, tags, pixels, and similar technologies to operate and improve the website and measure advertising effectiveness. NSTN does not intentionally send psychotherapy records, diagnoses, treatment information, clinical notes, or other confidential personal health information to Google Analytics or Google Ads for advertising purposes. NSTN does not use confidential clinical information to create advertising audiences or to target individuals based on their mental-health condition, diagnosis, or treatment.
Visitors may manage cookies through their browser settings. Disabling cookies may affect certain website functionality.
10. Website Forms and Online Booking
Our website may allow visitors to contact NSTN or request an appointment. Please do not include detailed or highly sensitive personal health information in general website contact forms.
Online booking and intake may require personal information necessary to schedule and administer services. Sensitive clinical information should be provided through NSTN’s designated secure intake or clinical system.
11. Marketing Communications
NSTN may send newsletters, announcements, educational information, group or program information, and other marketing communications where permitted by law and appropriate consent has been obtained. Marketing emails will include an unsubscribe option. You may unsubscribe from marketing communications at any time. NSTN will not use confidential psychotherapy information or clinical records for marketing purposes without appropriate consent or legal authority.
12. Privacy and Security
NSTN uses reasonable administrative, physical, and technical safeguards to protect personal information and personal health information from unauthorized access, use, disclosure, loss, theft, or destruction. All NSTN employees, contractors, students, interns, volunteers, and other authorized individuals are expected to maintain confidentiality and access information only as necessary to perform their authorized duties. No electronic system or method of communication can be guaranteed to be completely secure.
13. Privacy Breaches
NSTN takes privacy breaches seriously. If a privacy or security breach occurs, NSTN will take reasonable steps to contain, investigate, and respond to the incident and will provide notification to affected individuals or regulatory authorities where required by law.
14. Social Media
NSTN may use social media to share general information about our services. For your privacy, NSTN will not confirm whether someone is a current or former client through social media.
Please do not share confidential clinical information through public comments or social media messaging.
15. Emergencies
Email, website forms, text messages, and online booking are not emergency services and are not continuously monitored. If you or someone else is in immediate danger, call 911, attend the nearest emergency department, or contact an appropriate crisis service.
